This policy explains what personal information Vita Tech System collects through this website, why we collect it, and the choices and rights you have. We keep it short because we collect very little.
1. Who we are
This website is operated by Vita Tech System, 24 Athole Street, Birmingham B12 0DA, United Kingdom. For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), we are the controller of the personal information described in this policy.

2. Information we collect
When you send us an inquiry or a quote request through this website, we receive:
- your name and email address;
- your phone number, if you choose to give it;
- the subject, the service you are interested in, your budget range (contact page only) and your message;
- the language version of the site you used.
We do not ask for, and ask you not to send, sensitive information such as health details, financial account numbers or passwords through the forms.
3. How we use it
- to reply to your inquiry and send you a confirmation email;
- to prepare a proposal or quote if you ask for one;
- to keep a record of our conversation with you;
- to protect the forms from spam and abuse (see below).
We rely on our legitimate interest in responding to people who contact us, and on taking steps at your request before entering into a contract. We do not use your details for marketing newsletters, and we never sell them.
4. Spam protection and technical data
To stop automated spam, the website briefly processes the IP address your request comes from. It is stored only as a one-way scrambled code with the time of each message, so we can limit how many messages one connection sends in an hour. This record is used only for that hourly limit and is not linked to your name or your message.
Like most websites, our hosting provider also keeps standard server logs (such as IP address, browser type and pages requested) for security and to keep the site running.
5. Cookies and analytics
This website does not use advertising cookies. With your permission, we use Google Analytics to understand how visitors use the site, for example which pages are viewed, how long visits last, the type of device and the approximate country, so we can improve it. We also count how many inquiry and quote forms are sent and how often the WhatsApp, phone and email links are clicked, but never what you write in the forms.
Google Analytics only runs if you click Accept in the cookie banner. It then sets cookies named _ga and _ga_…, which last up to two years. Google Analytics does not store your full IP address. Your choice is remembered in your browser, and you can change it at any time with the link at the bottom of every page. See how Google uses data from sites that use its services.
Some pages also load content from other providers, which receive your IP address when they do:
- Google Maps on the contact page shows our office location. Google may set its own cookies; see Google's privacy policy.
- Google Fonts and jsDelivr deliver the fonts and icons used on the site.
- Links to WhatsApp, Facebook and LinkedIn take you to those services, whose own privacy policies apply once you are there.
6. Who we share it with
Your inquiry is delivered to our team's mailbox through our website and email hosting provider (Hostinger), which processes it on our behalf. We only share your information with anyone else if you ask us to, or if the law requires it. Some of these providers may process data outside the UK; where they do, they use safeguards recognised under UK law.
Google receives the analytics data described above, if you accept analytics cookies.
7. How long we keep it
We keep inquiries for as long as we need them to deal with your request and any follow-up, and normally no longer than two years if no work goes ahead. If you become a client, project records are kept for as long as needed for the work and for our legal and accounting obligations.
8. Your rights
You have the right to ask for a copy of the information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format. To make a request, email info@vitatechsys.com. We will reply within one month.
If you are unhappy with how we have handled your information, you can complain to the UK Information Commissioner's Office at ico.org.uk. We would appreciate the chance to put things right first.
9. Children
This website is meant for businesses and organisations and is not directed at children under 16.

We may update this policy from time to time. The date at the top of this page shows when it was last changed.
